Reduced timetables / Part Time Temporary Timetables (PTTT) process

To agree a reduced timetable for any reason, the following must take place.  

School, parents and external professionals agree that this is in the best interests of the young person. Parents complete a Reduced or Flexi-timetable request form.  

There is a meeting held including parents and all professionals involved (this may be part of the EHCP review process, or an additional meeting) during which 

  • A reduced timetable agreement is completed with contributions from all professionals and parents. The format of this will depend on the school’s Local Authority.  

  • An individual risk management plan is completed by all who attend the meeting, supporting to negate any risk of harm to the young person as a result of the reduced timetable.  

  • A date for review is set.  

Following this, the Local Authority is notified of the reduced timetable agreement, following local process and policy. (Please note, at the end of the year, all reduced timetable notifications to the Local Authority cease and these will need to be resubmitted.) 

Following this, the process differs, depending on the need of the learner – see below.  

Reduced timetables due to complex health needs This is where the condition is unlikely to change and this view is supported by medical evidence or input from medical professionals. 

Annually: 

  • A full review of the reduced timetable, involving all professionals takes place during the annual review.  

  • Medical evidence will be sought and obtained in support of this.  

  • The Individual Risk Management Plan is also reviewed and updated.  

6 weekly / half termly reviews:

  • Reviews with the parents are held and the Long Term Complex Health Needs review form completed. This is to ensure that there is no additional support needed for the family and there has been no change, where adjustments to the reduced timetable are needed to be made. These can be conducted by the class teacher via TEAMs, in person or via a phone call, to respect the impact that meeting times have on parents/carers providing full-time care for learners with such complex health needs. This is a check-in to ensure the wellbeing of the family and to ensure that there are no adjustments to the plan needed.   

  • Where a need to change the plan is identified, either through the Annual Review process, or through the regular reviews, a further meeting will take place with parents and all professionals to review the reduced timetable agreement and Individual Risk Management Plan.   

  

Short term reduced timetables to support reintegration back into full time education.  

A review of the reduced timetable take place every 2 weeks/half termly during a meeting, with parents and all professionals invited during which: 

  • A Short Term Reduced timetable review form is completed with contributions from parents, school and all external professionals involved with the family, stating whether the plan is to cease, be maintained or adjusted, with clear reasons as to why this is in the best interest of the young person.  

  • A review of the Individual Risk Management plan is completed.  

  • A date for the next review is agreed if the plan is to continue.  

A reduced timetable review will also need to be included within the Annual Review process, if there is a reduced timetable still in place at this time.  

The Local Authority are notified following a review of the arrangements agreed.
